Import: item master Data

The Hypersoft // system is a standard programme that can be used in many different configurations. The correct application of the topics described here requires expert knowledge and an alignment of expectations, and not all Hypersoft employees and partners are equally trained in all of the topics labelled in this way. For this reason, we characterise these topics as project work requiring planning, so that you can contact your Hypersoft sales partner or Hypersoft Support in good time with this necessary planning. This approach ensures that we record your requirements carefully and respond to them in a targeted manner.


You can import the items from a specific Excel format into the item master. The amount of information that can be imported is limited and does not include all possible functions of normal item input. The item master data import is intended exclusively for absolutely experienced users or Hypersoft technicians. The item import also supports the import into an existing item master, so the import can be used independently of the manual entry.

To be considered before importing:

  • In any case, you should be familiar with all functions and possibilities of the programme before importing.
  • The import should not take place while the system is running.
  • All other Hypersoft programs must be terminated.
  • The import should take place on the local drive.
  • You must create a complete data backup directly before the import.
  • You must check the correctness of the data immediately after the import.
  • Misuse of this program may result in damage that cannot be repaired and requires the special attention of a Hypersoft technician.

Import of data provided by suppliers

For the use case that the data is provided by your suppliers, we could observe in several cases that (sometimes only in the course of time) too much data is transmitted by suppliers. Even if this is in the interest of the suppliers that you order as many items as possible there, this can lead to an overloading of your item master data. In order to be sure that this is not the case, we recommend that you enter the items yourself so that you have control over them. If this is not practicable, for your safety (in addition to a data backup before each import), you should verify the data scope at your leisure during each import.

Provision of the import data

The imported data is set as follows:

  • Component capable
  • Have order variants
  • base unit
  • Storage location Main warehouse
  • APP on portion

The following things have to be edited manually afterwards:

  • Define material groups
  • insert into recipes, switch on properties such as saleable, etc.
