Codes for web vouchers, customers and the bonus system are managed in the "Manage codes" module. It provides an overview of all codes (including raw QR code data), their status, the last bonus activity and the number of bonus activities and redemptions. You can call up detailed information by selecting a line.

Hypersoft statement: While many providers licence codes and cards individually or produce exclusive cards, these are available to you as a Hypersoft customer free of charge. We offer to produce cards and other media for you, but you can also generate and manage these instant codes yourself in the portal.

Codes Details

In the "Details" section, you can see the bonus promotions in which the selected code participates in the first graphic. The bar chart can be filtered according to time periods such as the last month, the last 6 months, the last year or without a time limit. In the "Bonus system" section, you can view the historical bonus promotions for this code and narrow down the time period.

Manage codes

If you need additional codes (QR code raw data), you can download them via the bonus system. You can access this area via the menu under "Manage codes" or in the dashboard under "Order new codes". Here you can order new codes or download existing codes as XLSX files.

The number of self-generated codes is limited to 6,000 per month. If you need more free codes, please contact your authorised dealer or Hypersoft.

Use groups

When generating new codes, you can automatically assign them to an invitation and/or discount group. Activate the additional switch behind the group selection to automatically activate the generated web voucher numbers. These web vouchers can be used like normal vouchers and also have an invitation and/or discount amount if the POS system participates in the group.

Best practice: security and liquidity with web vouchers

Web vouchers are more than just a marketing tool. When used correctly, they are a secure, traceable payment system with a clear liquidity effect.

1. System security

Each voucher code generated is unique and exclusively compatible with your Hypersoft POS system. You can: obtain codes directly or generate them yourself and integrate them into your own voucher media.

The codes are not technically freely usable and thus protect against external manipulation or multiple use outside your system.

2. Charging only against actual payment

Web vouchers are always generated with a neutral value. A credit balance only arises if:

  • the operator books the top-up at the POS

  • one of the connected payment methods is completed correctly

This means: No payment method booked → no credit activated. This prevents voucher values from entering circulation without actual payment. This protects your liquidity.

3. Redemption as a regular payment method

Redemption takes place at the POS just like any other normal payment method. All movements are:

  • in reports

  • in exports

  • in location evaluations

  • in controlling

fully documented. This means that voucher sales and liabilities can be tracked at any time.

4. Cross-location transparency

If there are multiple locations, each redemption is clearly assigned to the location charged. Internal billing is automated and transparent. This creates:

  • clear responsibilities

  • accurate billing

  • audit-compliant documentation

5. Entrepreneurial risk management with multiple owners

If you work with different location owners or franchise partners, this creates an additional responsibility:

  • Voucher balances in circulation represent a liability.

  • If a location is lost, this can lead to financial burdens.

Best practice: Regularly evaluate the volume of vouchers in circulation. Define contractual safeguards. If necessary, deposit part of the voucher value as security.

The aim is to ensure that guests can redeem their vouchers in the long term, regardless of structural changes.

Those who use them in a structured manner gain planning security.

Anyone who views it merely as a "sales promotion" overlooks the risk.

Hypersoft reservation on free codes

The ability to generate codes independently offers you flexibility and spontaneity. However, we reserve the right to charge a nominal fee for free use if the downloaded codes are not used for the most part. This does not apply to individual cases, but to situations in which non-utilisation predominates. However, if your marketing measures are not feasible or are not accepted, this is of course not considered non-utilisation. Likewise, you may not copy codes at will and thus misuse them.
