How does the inventory service work?

The stock service calculates the theoretical stock on the basis of the sales data. However, commodity bookings also have an influence on the theoretical inventory. These could be:

  • Goods receipt postings from vendors
  • internal assemblies
  • Internal goods postings.

The inventory service has not only the information of the inventory at the current time, but the information of the inventory per day. The inventory service can also remember when an item was checked.

This capability enables us to provide you with special functions:

  • You can post goods receipt postings at different times (usually for days in the past if delivery notes have not yet been posted).
  • You can enter control data for past times (usually only at the start of work on the current day).

Regulation for consumption in the storage location

If you post a base item directly or by posting a recipe or product that contains it, the theoretical stock of the base item is reduced. So far it's logical and clear.

In the case of a recipe (or a product defined by a recipe) it may happen that not all or none of the basic items contained are contained in the point of sale. In this case, the theoretical stock at the storage location of the item is reduced (stock posted). If components are assigned to the point of sale, this stock is managed with priority.

Example of Posting Goods at Different Times

Entering the actual stock for any date before the start of sales or after the day-end closing has certain effects when differences occur:

  • The inventory data of the day you selected will be changed:
  1. The theoretical starting inventory of the day, if one chooses before cash start,
  2. the current theoretical stock or closing stock (if it is a closed day) if you choose after the end of the cash period.
  3. In addition, all existing stock data for any subsequent days is corrected by the difference until the system encounters a control entry, since this has priority.

The same method is used for posting deliveries by vendors. In this case, the program is based on the specified goods movement date and starts from a delivery before the cash register start and corrects the stock data until it encounters a control entry.

Strictly speaking, the result of the control entry would then have to be reconsidered, as this would look different with the goods receipt posted due to differences in the control or subsequently.

Please note that the start stock is the stock directly after the /TTAClosed The theoretical end of day (TTA) applies the calendar day change at a time specified by you (default setting 6:00 a.m.). The programme can automatically perform closures, updates and maintenance at this time. A new sales day then begins with the first POS booking of the day..

Make sure that you do not post any goods if you have already started a check but have not yet finished it. Posting items whose stock is currently being counted leads to incorrect or misleading stock data. You would have to check the items again in such a case to compensate for deviations.
