Users and Authorizations

We distinguish between the terms users for working with the programmes and operators for working with the POS checkout system. Users are managed in the user database and operators in the employee master data. Thus the user authorizations regulate the access to all programs and the operator authorizations the access to the cash register system. Users can also be used across clients. Operators are always managed per client in the respective employee master record.

All employees for whom you record working times or work at the fund must be created as employees. By assigning secret numbers (and keys) and operator authorizations, employees then become operators of the POS system. By the way, user names can be copied from the employee master data or simply entered again. The permissions are assigned to users with the user groups. Changes in the user group are then applied to the participants in the group.

At least the first user of your client will be created by Hypersoft or your reseller. You can use this user to log on to create additional users and assign authorizations. If you have more than one company, Hypersoft creates the head office and its branches. Branches can be company stores or franchisees. In addition, there are various settings and authorizations. A user of a head office can automatically receive authorizations for access to the branches. Independent franchisees can restrict certain authorizations of a central office (of the franchisor).

MyHypersoft portal access is controlled by the user's status, which can be assigned to one or more operations. This means that you can register for the higher-level site (the head office) and also enter assigned sites from there. If you have more than one site, you can also map the desired company structure and assign the other partners and employees accordingly. The portal recognizes the respective status of the user and places it appropriately in the hierarchy. An authorized user of a franchise centre or a central administration has automatic access to the branches underneath. He thus has access to the current branch data, can communicate with the employees and even log on to the POS system (Hypersoft MCP) on site as a user without having been created there beforehand.

But the portal goes one step further. It is often the case that franchisees have several businesses. Then a franchisee in the group of his companies acts as his own central administration. This goes so far that he can also centrally manage other operations himself without a higher-level franchisor (of another system) gaining access to the "foreign" systems.

In addition, it can be set in the portal that the companies are self-employed or self-responsible. Hereby, necessary settings are shifted to these independent decision-makers. Then, in the example below, the management of company B can determine which data will be made available to the intersection of company A. Criteria that fall under data security, such as employee data, can also be protected in this way.

We strongly recommend that you set up each user of the program and use secure passwords to secure their access and better track changes.

Well planned user permissions do not only restrict, but help your employees to concentrate on the available programs. In this way you avoid misunderstandings and operating errors in areas that do not belong to the area of responsibility of the respective user.
