Report Collection
The Report Collection lets you view your recurring reports (report variants) in our portal and retrieve them whenever you need them, without having to recreate the reports or search for them in your email programme. Users without MCP access can also access these reports independently, such as accountants, tax advisors, chefs, operations managers etc.
All reports that are to be sent automatically by email to a distribution list in the Report Manager are loaded with the Report Collection in our portal and sent from there by email. Using the Report Collection, older reports, e.g. for annual comparisons, can be called up quickly at any time without having to generate them again. The Report Collection is therefore an online collection of your reports.
We generally advise against sending reports by mail unless absolutely necessary. Inboxes are filled with the reports even in the case of absence and correct filing must then be done manually in addition. The Report Collection is an automatically acting correct filing system that also works during your absence. By the way, file attachments belonging to some reports are also stored in the Report Collection. The Report Collection also has search and sort functions.
Licensing...
The Report Collection requires one of the following licences per participating site:
• Backoffice Suite
• Advantage Full-Service
• Advantage Quick Service
The Report Collection is thus available free of charge for the Backoffice Suite licences (incl. Advantage) (limited Report Manager licences can be extended to Backoffice Suite on request).
Port releases...
The general outgoing Hypersoft port shares must be set up (or not blocked). For this, see section11.2 General outbound Hypersoft port shares, where a port is also explicitly required for Report Collection.
Hypersoft POS interface required...
If a master token is set up and the access data to the Report Collection Server is available for the client, the Report Manager stores the reports suitable for the Report Collection Server and the FTP Manager transmits this data to the portal. This means that direct mails with attachments are no longer sent, but the Report Collection System in the portal then sends the mails with permanent links and thus without attachments.

Error message when calling...
If you receive this message when calling up the Report Collection, the interface for the respective location has not yet been set up. You can activate the Hypersoft POS interface via the button.
Setup for head office with master client...
In a central system, the files for Report Collection are stored in the FTP folder of client 1 (master client). This means that you only need one FTP manager for client 1 and not for each sub-client.
Determine the reports for the Report Collection
If the requirements are met, the reports are no longer emailed as attachments but uploaded to the portal and made accessible from there with a permanent link. The requirements are:
-
Back office licence
-
Hypersoft POS interface is set up
Then the report export dialogue adapts to the transmission to the Report Collection:
To set and select the reports that will be available in the Report Collection in the future and whose links can also be emailed, read the section Automatic report export area.
