Control recording is the central module for determining and evaluating stock levels at points of sale. Employees record the actual stock on hand, while Hypersoft calculates the theoretical stock from all goods movements and cash bookings in parallel. The comparison of both values results in the actual consumption, which can be analysed and assessed.
Small deviations between actual and target stock levels are normal in day-to-day operations. Larger shortfalls, on the other hand, indicate problems such as incorrect handling, missing bookings or organisational weaknesses. Surpluses are also an important signal and often indicate incomplete issues, incorrect article allocations or incorrect master data. Control recording thus creates transparency and is a central tool for quality assurance in goods management.
Once a control recording has been completed, the actual stock recorded replaces the theoretical stock calculated up to that point. For this point in time, both values are considered identical - the stock of goods is thus "re-zeroed" and forms a clean basis for the further consumption calculation.
As every cash register entry triggers theoretical goods movements and continuously changes the stock, Hypersoft recommends that the control entry is carried out outside of active sales times. Ideally, it should be recorded either before the start of sales or after the end of the day. This means that all recorded inventories clearly refer to a fixed point in time and are not distorted by ongoing sales.
The checks should be carried out at fixed intervals so that everyone involved can adjust to them. The control groups used can be selected flexibly and adapted depending on the product group, storage location or organisational requirements.
Before starting a control recording, ensure that:

all delivery notes have been posted in full,

all goods movements are finalised,

all sales bookings have been completed and
-
the inventory service has processed all postings (standard).
Methods for recording controls
The type of recording depends on your operational requirements and circumstances. In principle, several procedures are available:

Stocks can be recorded directly in the system. To do this, you use checkout stations on which the Control input programme is started. An optional digital scale can be connected for partial or weighed items; alternatively, weight values can also be entered manually.

Alternatively, the control input can be made via an RDP monitor. This method is particularly suitable for storage locations with a limited network connection, as only image information is transmitted and no extensive data streams are generated.

A third option is to print out manual checklists. The stocks are noted on site and then transferred collectively to the system. This method is particularly suitable for larger storage areas or situations where direct system detection is not practicable.
