Barcode Bookings

The cashier mode can easily work with barcode scanners. The barcodes are stored in the item master. If a barcode is scanned, the item is booked automatically.

The functions, price, weight and magazine barcodes, are only available on stationary POS systems.

Barcode has several items

If several items use the same barcode (and all items are saleable and also assigned in the point of sale!), then a query appears when scanning the barcode in which it can be selected which item is to be booked.

Barcode indicates price or weight

The POS cash register system has the possibility to book entries via barcodes, which contain the price or weight information of the item. A special format for the sale of magazines is also supported. The barcode is read by means of a barcode reader and the POS converts the information contained into a cash booking.

Such barcodes are created by special scales that are available from every major manufacturer. The format is generally compatible. There are also suppliers who will provide you with appropriately labelled goods.

The barcode type to be used is the Global Item Identification Number GTIN 13 (formerly EAN 13).

The first or the first two digits of the number contained in the barcode indicate whether the barcode contains the price or the weight. Both types can be used in one system.

If necessary, this method can replace the direct connection of a Sales scale /Check-Out scale, which is subject to approval by the Weights and Measures Office.

Configuration of the barcode format...

You can define the lengths for barcode price and barcode weight for the item number within the barcode in the global system settings. The maximum number is given by the length, you can choose the division between price and weight between 4, 5 and 6 digits. For example, the EAN-13 barcode results like this:

Start number: 2 digits (22)

Item number: 4/5/6 digits (12345)

Price: 6/5/4 digits

Check number: 1 digit

How it works

When scanning the barcode (GTIN 13 only), the type is determined using the first digits and then the item is posted using the assignment to the free item number (in connection with this function, a maximum of four digits of the free item number are supported).

If the bar code is a weight bar code and unit sales are triggered, the price is determined and the weight can also be used for merchandise management. If instead a normal saleable item is stored (without unit sales, this item is simply posted).

If the barcode is a price barcode and the price is 0,-, then there are several possibilities:

  • The item is set up for the free price and has itself the price 0,- in the standard current price level, in this case the query for entering the price appears.
  • If the item has a sales price in the current price level, the price of the current price level is posted - even if the item is set up for the free price.

Stock management by weight

The quantity (in grams) is determined from the sales price of the bar code and the price per kilo in the item master and taken into account for merchandise management purposes. For this the item must be defined with price per kilo. If the item has not been set up accordingly, it is posted with the specified price and posted as a merchandise quantity 1 x - regardless of the price/weight.

Setup and Configuration

In care unit management, you define the number sequence for the price and weight bar codes.

The barcode contains the information as follows:

Set up item for a price barcode...

Create the item as usual, deposit the free item no. in the item master. This number is read from the barcode label generated by the scale (or other device).

Setup for a weight barcode...

Create a basic item as usual and assign the corresponding free item no. . Activate the UnitSales property.

The special feature of unit sales is that instead of the sales price, the kilo price must now be entered as the sales price. You may have to calculate the price per kilo yourself.

Set up print journal barcodes

Magazines sold in Germany are sold with the standard GTIN-13. This is structured as follows:

  • Country code 419 for press with reduced VAT rate or 414 for full VAT rate
  • A five-digit title number of the magazine assigned by VDZ.
  • The four-digit price in cents
  • The check digit according to the usual calculation method.

The GTIN-13 formed in this way thus does not contain the entire ISSN, but the price, which is the same everywhere in Germany due to the fixed book price. This is particularly advantageous for smaller outlets, as the GS1 press code can be used to assign the price.

Magazine barcodes are also recognized at the first positions. From the fourth item onwards, this specifies a five-digit item number. Enter this five-digit number in the item master in the field of the free item number of the item/journal. The item must have the Free Price (and Sales Item) setting.

You can also set up a neutral item to be used for the sale of magazines that do not exist with their description in the item master. To do this, you must enter the free item number that the neutral item has in the item master in the item number for journals fieldin the ward management.

In any case, you must enter a valid free item number in the Item number for journals field so that the sale of journals is activated by barcode at all. If the field is empty, no such barcodes are accepted.

Age limit in the code...

Country codes 439 and 434 are used to identify journals to which a data carrier with an FSK or USK age restriction is attached (such as films or computer games). The cashier mode requests the following with the message "Check Age" (of the customer). For more options, see the topic Age verification.
