Site items and field barriers

This concept enables you to control item processing per location.

One possibility is to release or block individual fields for processing by locations or system groups. If, however, item processing is to take place at the site, activate the Site item function for these items. The Location Items function is valid for all locations and releases the processing of items in the locations. A single exception is the list of parts with the queries, which cannot be processed from the location (but per location in the head office). In addition, individual fields can also be blocked for processing for site items for sites or system groups. See Configuring Field Locks for this.

You can select individual clients in the head office and start this item master there to set up deviations. It is also possible to edit at the site itself, but the web clearing must have the possibility to synchronise the data in only one possible direction. It is therefore not possible to process a different client in the item master at the same time at the location and at the head office. Further details and regulations on the handling of data can be found under Location functions of the programs.

When calling up the item master for a location, all items are displayed, but as a rule not all items may be edited. In this case, the editor uses the property Location articles as a filter for working at the location, so that only the items that are intended for editing are displayed. When changes are made to site items at the site, Hypersoft's web clearing takes care of transferring these changes to your head office. The items then appear in the head office with information on the deviation.

The Location Item setting is located at the top of the item master and is activated for the relevant items:

The areas or fields of the site items that can be changed directly in the site correspond to the fields and areas that are marked with the site mark.

  • Use the Site Items setting to uniquely control processing at the site.
  • Lock areas that you do not want to be changeable.
  • Changes in locations are transferred to the head office with clearing.
  • Component lists cannot be processed at the site.
  • Inventory lists can only be set and transferred differently from the head office.

Switch item to inactive

In this context, please note that items that are switched to inactive are also not available for other functions. This also applies, for example, to benefit items of the bonus system, deposit articles and the many other possibilities where the Hypersoft system makes bookings for you on the basis of one of your configurations.

With the switch Item inactive you can hide items for all locations. These are then no longer available after saving and with the next web clearing comparison, neither in the item master nor in the POS system. You can then activate the items in individual locations using deviations.

It works the other way round by leaving the switch off and the items available everywhere and then using deviations

in locations. The switch Item inactive has a location marker for this:

You have the option of using inactive items in keyboard programming despite this status. For this, see Putting on Inactive Items in the Central...

You can activate a check for this in the Online Order Connector, see Item check when booking via eSolutions......

Configuring Field Locks

Field locks enable you to avoid operating errors in the locations and thus update and largely save your data in a simple, centrally controlled manner. To configure field locks, activate the required mode:

  • In Field Lock for All Items mode, you can lockall fields.
  • In the Field block for site items mode, you can then switch specific fields for site items to Allowed (that is, release them again for individual sites or system groups).

In this mode, all fields that are allowed in the location are marked.

In this mode it is not enough to uncheck Allowed to lock a field. The field must have been locked explicitly by the field lock. (Background: The field lock is used to set individually what may be edited in a location in general.) Individual fields can be permitted again using the location items.

Apply field locks

You can use the field lock to determine which fields and elements can be edited in the sites.

Element / Switch Function / Description
client selection Here you select the required client or global settings to edit them. Client 1 cannot be edited.
Uses global settings This function is similar to a template. You can define global settings by selecting them from the client selection. You can then select clients and use this switch to apply the global settings for the selected client.
store

If you select a client, its settings are not yet displayed. Click Load to display its settings.

This procedure enables you to copy the settings of a previously loaded client.

  1. Load a client.
  2. Then select a client that is to retain the same settings (the settings are retained).
  3. Choose Save to copy the settings to the selected client.
Save

Note exception: Save your settings, because without saving your settings will be discarded when you exit.

reset Switches off all settings of the selected client.
Apply Activates a test of your settings by starting the item master with these. The settings must be saved beforehand.

Special Lock Features

When locking fields and elements, note that you must save your settings before you exit the function.

Details about the element or field editing:

Store-capable field processing enables fields to be handled differently. Deactivate the check mark at Master to allow other information to apply to the corresponding branch. If you activate the checkbox Master again, the field is synchronized again with the information from the master item master.

Field processing can also be conveniently controlled via location deviations.
