Creating a template for operator permissions

In general, it is best to work with roles or templates that you set up once and then assign to the operators for whom these set roles/templates are to apply. This way, a single change can be made to the template, which is then equally valid for all assigned rental workers. You create a template by creating the name of the desired template like an employee in the employee master, for example:

  • Template for cashier operator
  • Shift Supervisor Template
  • Template Manager

Then select this template in the operator permissions for the operators to whom it should apply. Then add only the settings that are not transferred with the template:

  • Secret number or PIN (mandatory field)

  • message text
  • Level / Loss
  • max cash
  • territory protection
  • commissions
  • Operator hold function with transaction number
  • Number of dispensing system
  • Level prefix / loss applies to dispensing system bookings

If you have assigned a template to a staff member and then make settings, you are not changing the template. To change the template, you must select the template itself from the list of employees.

Data sets used as templates are not treated as operators in the programmes. For example, templates are hidden in the master task overview. It is therefore not correct to use an actual operator as a template but also to assign a neutral template to "this" operator.

Examples of Operator Authorizations

A normal operator can have the following settings:

  • Immediate cancellation and cancellation request. If you work with customer display, only cancellation request, otherwise he can collect using the balance of the customer display).
  • Reports, operator report (for self-billing) . When working with cash drawer, open cash drawer 1 or 2 and do not revise.

A senior executive in addition:

  • Manager status
  • casualities
  • Free price entry
  • Access to all tables (including customers if applicable)

Using an Authorization Hierarchy

The editing of the operator authorizations can be switched to template editing. This allows you to implement an authorization hierarchy if you are working in larger structures. The template designations for the authorisations are created in the employee master record as described in the section Employee data that are not active employees.

Otherwise, skip this chapter with this alternative configuration.

The setting is made for the users in the MCP (note the difference between users and operators). There, select the Operator Permissions section:

 

If necessary, activate Restricted editing using the following operator templates. Select the desired operator templates that are accessible to the user group. The user can then only assign the selected templates to other employees / operators.

It often happens that operator templates are used that have not been typed as such. The program recognizes this and asks you for correction:

This is then displayed as follows in the operator authorizations:

The template must not be assigned to the user, since it was not released via the settings in the user groups. When you try to save, the system informs you that the authorizations required to assign this template are missing.

It is equivalent in the employee base:

The template must not be assigned to the employee, since this template was not selected using the settings in the user groups. When you save, the system informs you that the authorizations required to assign this template are missing.

The different authorizations

All authorizations are set globally - i.e. valid for all cash stations.

However, you can also define different authorizations that are assigned to one or more stations instead of the global authorizations. As soon as you assign such an authorization to a POS, the global authorizations no longer apply. The authorizations are therefore replaced and you must therefore make all the settings for this replacement.

To be able to use a different authorisation, proceed as follows...

Start the program Stationsfrom the program group System Settings. Select a cash station and press the Editbutton. Press the Create Authorisation button in the ward details:

You can then select a permission with the name of the selected ward in the Permissions list to the left of the button:

Press Save and exit ward management. Go to the operator authorisations and select the authorisation with the ward name:

Enter the authorizations (again) for all operators who are to work at the cash register station with different authorizations.

A different authorization can also be assigned to other stations without having to re-enter the operator authorizations. This means that you can also assign the completely configured authorizations to other POS stations.

You cannot send Send messages directly to operators with different authorisations.

Best practice messages to operators

So simple and yet so efficient that we do not want to deprive you of this method. The functions Messages for operators and Messages from the message programme (in practice you may only use one of them depending on your needs) are important training tools to communicate your interests to the operators. A short phrase like "always happy to" that was displayed to all operators over and over again during registration had already had a miraculous effect on the operators of a very successful brand a few decades ago. I'm sure they also have a particular motto that is so important to you that you say it over and over again. But also very individual messages for operators with specific strengths or weaknesses can be helpful especially in the training phase.

Use this technique within a few minutes to achieve sustainable success!
