Define operator authorizations

Before starting with operator authorisations

Increase the security of PINs (secret numbers)...

By default, you can work with simple PINs that are assigned by you if they are long enough not to be guessed and you assign an operator key to each operator. If you work at the POS or otherwise with PIN entries, we expressly recommend the procedure Enable enhanced security for operator secret numbers.

Recommendations for templates / roles

Generally we recommend the work with rollers/templates as this saves time and is safer. You should also decide in advance how secure you want your secret numbers to be and which procedure you want to use.

Register Operator Authorisations General

From the programme group POS Settings, select the programme Operator Authorisations.

The employee list is filled with your employee data and a search field helps you to make your selection.

Print

Prints the list of permissions.

Global or authorisation group Normally, the operator authorizations apply to all POS stations. If at least one ward uses its own permissions, you can choose here between this group or the global settings.
personnel number Displays the personnel number of the selected employee.
Secret number (PIN)

The secret number can be assigned to an operator key or other medium. Alternatively, you can use it to register directly at the cash desk. The secret number can also be assigned when creating the employee in the employee master.

signal colour Changes the background color of the numeric keypad when the user logs in. This helps to avoid confusion, for example, when operators log in only by pressing a key (Keyboard macro).
evaluation group

Enter the number of an optional evaluation group here.

Enhanced Layout This allows you to load a special keyboard programming layout with the operator login. Further information under the FAQ topic How can I use special functions that are not accessible to other operators?.
manager Assigns the Manager property to the operator or template.
Role/Template

Select a template to apply to the selected operator. Further information on Working with roles/templates...

training key

These settings allow you to practice at the POS system without generating sales. When the switch is activated, the operator will automatically always run in training mode.

Message to the operator

Enter a message for the operator that is displayed whenever the operator logs on to the cash register. Select once for one-time display each time you log in after a daily closing or repeatedly for display each time you log in to the POS system.

Messages from templates are not passed on to assigned operators.

In addition to messages, there is also Send messages .

entrance

Only time recording...

The setting Only time recording means that the corresponding operator can only record time at the POS. All other settings (even the manager status) become ineffective.

(Discontinued programme) Mobile Control...

If Mobile Control is to be started from the mPOS, give the operator this authorisation. After logging in, the operator is then asked whether he wants to use CLOU Mobile or Mobile Control.

Clou Mobile / mPOS...

Here you can disable access to the CLOU Mobile. This also reduces the selection when logging on to the mobile device.

Allows operators to obtain appropriate levels of access to vending machines and cash management.

territory protection

Allows you to set a range of table numbers for the operator as a limit from-to. The operator can therefore only work within this defined area. However, operators without this limitation can also work in this area.

discounts

Maximum discount...

Here you set the maximum discount in % allowed for this operator. Important details on the rules for working with discounts can be found in the chapter Apply discounts.

If you do not want an operator to give a discount, enter 0 (zero) as the value.

If this operator books to a transaction for which a higher discount has already been granted, this discount will also be applied to the bookings of this operator, regardless of the limits stored here.

When assigning clients, limits set here are not taken into account. Further documentation: Fraud with Discount and the Assign Customer function.

To assign the level or reason for loss for your own personnel actions, use the settings in the employee master.

Maximum amount...

You can specify a specific amount in the Max Cash field. If the operator's turnover reaches or exceeds this amount, the operator cannot continue posting until the turnover has been skimmed off. The revenue absorption is carried out with the cash register function, which is only available with manager status.

Cash on hand

The Maximum Amount limits the operator's cash holdings by prohibiting them from booking above this amount. This forces the operator to skim his cash first in order to be able to make further bookings at the POS system.

Price levels / loss

 

Allocate price level or loss...

This setting allows you to explicitly assign a price level or reason for loss for the operator. The price level or loss reason is applied when the operator logs in.

An operator using this setting cannot switch to other levels. Priority and other price level functions also have no effect on the operator. This function is also used in practice to map special functions such as invitation keys and the like. This may require documentation in your procedure description, as in the example there. Levels Holding function...

This function is to be used independently of the selection of a price level or loss and has no function in the context.

With the levels hold function the operator can permanently switch the price levels at the cash register for all subsequent bookings in the current transaction. Without this setting, after the first booking, the system switches back to the station's default price level or otherwise preferred price level.

commissions

If you want to calculate commissions, activate them and enter the percentage for them. If you choose Merchandise category commission, the system uses the percentage rates defined for this in the merchandise categories. With the option operator and product group commission you can combine both.
