Use employee master record

In the first tab, Address Data, the basic data, such as the addresses of the employees, are entered.

The employee master works with a resolution of 1024x768 pixels, on larger screens it displays slightly larger so that the list of names is easier to read. In central offices, the location list is displayed for convenient editing .

Employee address data

From the StaffOrganizer program group, select the Employee masterdata program. Select a staff member from the list and press Edit, to edit their data, or press New to create a new staff member:

Delete

When an employee is deleted, this employee remains in the data. Only a deletion indicator is stored in the database, which is taken into account by the programmes. From the point of view of the user of the employee master, the data is deleted. When deleting, a check is made whether the record serves as a template (in the operator authorisations); deleting a record that serves as a template is rejected by the system. However, if the record can be marked as deleted, a confirmation prompt also appears:

When deleting, the following data is irrevocably deleted:

  • operator authorizations

  • Key allocations

  • Map assignments

  • MCP access and permissions

  • Fingerprint hash codes are preserved

By activating the tick Show deleted records (bottom left), the "staff data marked as deleted is displayed. The "Delete" can then be undone by pressing the Activate button. The Activate button appears where the Delete button would otherwise be.

The employee data can be linked to the booking data of the POS system, if the employee e.g. books as an operator at the POS system. Thus, the employee data is accessed for evaluations and exports, even if they are hidden in the view as deleted.

list

In the list of staff data, you can search with the field above. The data of selected employees can be adjusted. This is taken over with Save.

Address

In any case, enter the employee's first name and last name so that they can be identified uniquely elsewhere in the program. The entry of address data is optional for your company organization.

Options for the

Type and Entry date...

Assignment to a type is for your own organisation:

  • staff
  • operator template
  • operator function
  • suitors
  • Other

For use types, you seeEmployee data that are not active employees.

The employee's entry date corresponds to the start date in your company.

Exit date...

Enter here the date of the last working day of an employee when he/she leaves the company. This input is taken into account in a time recording report or automatic calculations.

Date of birth...

You can enter the date of birth in the field or use the calendar.

Personnel number (change)...

The personnel number is his unique number. The personnel number and the cash register function personnel number can also be used to book a personnel transaction.

If - for urgent reasons - you need to change the personnel number, you can press the key combination Control + F12 to edit the field. Please make sure that the employee does not have an open employee transaction in the POS system and also take into account any interfaces.

Alias...

The Alias field can contain the nickname of the employee. If this field is used, this alias will be used instead of the first and last name on forms and order receipts of the POS system (if printing of a name has been set up).

Form of address serial letter...

At Export employee data you can use the Salutation form letter to create personal form letters.

Picture... and camera...

With the camera button, you have the option of capturing employee images via a connected webcam. The images are adjusted proportionally for viewing. A preview opens with a trigger function that assigns the picture to the staff member. The employee picture can be used in time recording, on lists and in POS cashier mode for the operator.

If you select an image file via the three-point menu, it is assigned to the employee.

The image file in the reference may contain a maximum of 31 characters including the file extension.

Authorization template and secret number

If the employee is to be an operator on the POS system, you must enter a PIN (secret number).

At this point you should select a role / template so that you apply the POS permissions from this to the employee (you can also simply select another employee as a template).

If you clear the field, then the operator can no longer log on to the system (he is thereby deactivated for the POS system).

Capture fingerprint Via an extension licence and with a special fingerprint reader, you can use the Biometric fingerprint capture for time recording.
communication Store the important communication data here (you may want to create a telephone list in case you need to call your staff spontaneously).

Employee is locked

Activate this checkbox and write an information text in the field below to block the employee. The staff member can no longer work at the checkout station and will be shown the text you have stored when logging in until you remove this setting again.

If, on the other hand, the employee is blocked from the cash register via the closing automation, only the posting to his own employee transaction is blocked. If the employee is released again via the cash register function, this block is also lifted here in the employee master record - regardless of whether it was activated manually here or by automatic closing.
