Hypersoft POS and mPOS support data exchange with hotel software solutions, the so-called property management systems (PMS). We thus offer innovative hotel businesses not only professional POS integration, but also access to the entire Hypersoft eCommerce world.

Our solution enables traceable and secure hotel billing - a standard at Hypersoft. You have access to the PMS guest list and can book invoices directly to the room, for example for later payment at check-out.

As many PMS systems are used for billing the entire operation, other transactions such as:

  • Voucher sales (online or directly at the POS)

  • and income from other Hypersoft channels

automatically.

Customer base

The Hotel PMS interface is compatible with Hypersoft POS, mPOS, CLOU MOBILE for Windows and Orderman. For this use, the licence for the Hypersoft customer base is required, as the customer base is managed in the respective PMS.

The Hypersoft customer master can optionally be used with all Hypersoft programmes independently and in parallel to the PMS integration.

PMS Connection Technology

We use two different interface methods. The classic method with a directory for data exchange, called: Classic and the XML method, which is used for online systems and current new developments, called: XML Connection. In this documentation we refer to manufacturer names (example: Oracle) or the type of interface (example: XML interface). If we refer to the type of interface, the statement applies to the possibility, but it still depends on the individual manufacturers of the PMS interface whether the function is supported.

For the Classic interface there is a combined area with specific information per manufacturer of the connected PMS system. For XML connections, we have one information page per manufacturer.

 

All bookings of the PMS interface are transferred within Hypersoft from a standardized XML file. This XML file was developed by Hypersoft to be able to integrate other PMS programs quickly and flexibly. The documentation will be provided on request by Hypersoft and you can be supported by our support.

Best practice: Strategically combining hotel PMS and POS

The connection between the POS system and the property management system (PMS) is one of the most important integrations in the hotel environment. The aim of a hotel connection is clear:

  • Correctly posting room bookings and ancillary services

  • Transfer restaurant, bar or spa sales to room accounts

  • Synchronise payment processes seamlessly

  • Keep reporting consistent

Technically, this integration is now established and can be implemented reliably. The strategic question is therefore no longer: "Does the interface work?" but rather: "Which system architecture suits my business model?"

Different system logics

PMS systems are primarily designed for hotel operations:

  • room management

  • rate logic

  • housekeeping

  • booking systems

  • channel management

POS systems, on the other hand, are optimised for operational catering processes:

  • table management

  • product variants

  • recipe control

  • warehouse management

  • controlling

  • payment integration

  • Branch capability (location management)

Both systems have different development priorities. Therefore, the choice should not be made for organisational convenience ("everything from a single source"), but rather based on functional considerations.

Many PMS providers offer their own cash register systems or work with preferred partner solutions. This is understandable from an organisational point of view, but it does not automatically mean that this solution is ideal for the catering industry. In many cases, combining two specialised systems can be more powerful than an integrated complete solution with functional compromises.

The decisive factor is:

  • What are the requirements of your catering business?

  • Should it be optimised economically on its own?

  • Are there any external guests?

  • Is there a branch structure?

  • Is active merchandise control practised?

The more strongly catering is managed as an independent business area, the more relevant a powerful POS system becomes.

Integration instead of subordination

In practice, we often encounter the following scenario:

  • The hotel is being strategically optimised.

  • The catering is technically "carried along".

The catering industry in particular can:

  • develop independent earning power

  • attract external guests

  • Strengthen brand profile

  • Generate additional revenue

A powerful POS solution combined with a suitable PMS creates scope here – without any technical disadvantages.

Technical reality

Modern hotel connections enable:

  • Room bookings directly at the POS

  • automatic feedback to the PMS

  • centralised evaluations

  • clear separation of hotel and catering revenues

Experience has shown that a specialised POS-PMS combination does not cause any systemic disadvantages during ongoing operations. This requires a cleanly implemented interface and clear responsibilities in operation.
